In this area of the website you will find all the information and support to help your child, both pastorally and academically while they are at The Portsmouth Academy.  If there is any information that that you cannot find, or think would be useful to be added in here, please contact us office@theportsmouthacademy.org.uk and we will try to improve things for you.

Attendance Policy

Regular attendance is extremely important for student achievement, it is also a legal requirement. In line with the expectations of the world of work, we place a high value on punctuality, which should become a habit for life. We have our own Educational Welfare Officer to monitor attendance and punctuality.

Fostering good attendance is a shared responsibility between us and yourselves and we do ask for your support with regard to this. Your child’­s attendance figures will form part of your child’­s Record of Achievement. Employers and colleges always ask for information regarding a pupil’­s attendance and punctuality.

Good punctuality is expected at all times and we do ask parents to confine routine dental and hospital visits to holidays or after the learning day. At no time will your child be allowed to leave the premises without written permission from you.

Absences

To understand when you should send your child into school, please use this Public Health guidance.

What to do if your child is unable to come to attend:

  • Please let us know on the first day of absence giving the reason and the expected date of return. By text: 0762 4804738, by phone: 0844 2393531 or all other enquires 0333 360 2200.

What to do when your child returns:

  • Please provide an absence note, even though you telephoned previously, giving a reason for and the dates of the absence.

We have an electronic system of contacting parents if their child is absent and no reason has been given.

Authorised And Unauthorised Absences

Please note that only the Principal can authorise absence for exceptional circumstances.
Exceptional circumstances would include the following:

  • Illness
  • Unavoidable medical appointment
  • Recognised religious observance
  • Funerals
  • Traumatic events.

Should you wish to request leave of absence please ask your child to collect the relevant forms from reception and when completed, return to the Principal.
Truancy or unauthorised absence includes time off for:

  • Shopping
  • Birthdays
  • Looking after other family members
  • Taking all your children to appointments when it only relates to one child
  • Waiting in for trades people
  • Family holidays
  • Unapproved sporting events
  • Any time off when no reason is given
  • Visiting relatives
  • Getting up late
  • Missing the bus
  • Poor weather – unless authorised by school
  • Days out.

Attendance figures

We have set an attendance target of 96%.

Your child will also have their own personal attendance target set by their tutor.

Improving Punctuality

Punctuality Letter

All pupils must be on site by 8.40am at the latest.

  • If your child catches a local bus, the responsibility will be on you as parent/carer to prove that they were late because of problems with the buses.
  • If your child walks, the responsibility is on you as parent/carer to provide a satisfactory reason for their lateness.
  • If you bring your child in a car, it is your responsibility to ensure that enough time is given for the journey to prevent lateness.

Failure to provide satisfactory proof of lateness will result in detentions in the first instance, followed by parental interviews, then involvement from the Educational Welfare Officer.

Please note that lateness is classed as truancy and can lead to court action.

How can you help?

  1. Encourage your child to attend on time every day.
  2. Contact your child’­s House Leader if you are having problems getting your child to attend. We are here to help.
  3. Take your holidays only during holiday time.
  4. Try and avoid having medical appointments during the learning day. We do finish school at 15:00.

All educational establishments are required to publish figures for authorised and unauthorised absences. We are trying to reduce our unauthorised absence by contacting parents each morning if their child fails to attend. We will also send out a copy of your child’s attendance with their annual report as well as discussing it with you at Parents’­ Evening.

We liaise closely with our Education Welfare Officer and they will become involved with those families whose children have poor levels of attendance. It may sometimes be necessary to take court action.

At The Portsmouth Academy we are keen to allow students to learn in ways and at times that support their education.  These are some of the packages available to our students.

Students have access to a service called GCSEPod, which provides podcasts based on their GCSEs.  Their login will be their school login and password.  There is a link to this from the Pupils->Microsoft Portal at the top of this website, or they can go to www.gcsepod.com/login or download the iOS / Android app.  If they have any problems logging in, please contact the school.

TPA student guide to get to teams

All students have access to Microsoft Teams to allow them to access learning outside of lesson times.  Teams gives them a chance to work collaboratively with their teacher and other students in the class.

We recognise the value homework has and the positive effect it has upon learning. Homework should build on prior learning, consolidate what has been learnt in lessons and deepen students knowledge and understanding.

 The process of managing homework gives students good habits that they need to succeed in life- self-discipline, organisation, perseverance, resilience and the ability to think independently.

 We are always looking for ways to make homework more effective and we use Show My Homework to set homework.  Show My Homework enables students (and parents) to see exactly what homework is set.  Students (and parents) at The Portsmouth Academy can download a Show My Homework app for their mobile phones that can send reminders when homework is due. For more info about the apps see IOS App, Android App or other mobile devices.

 The simplest way to access Show My Homework, is through the Show My Homework link, via the Portals at the top of this website.

We value the support that families give to their children in completing homework.  All parents and carers can access the website via any device that is internet enabled to see what homework has been set for their child and the deadlines for each piece.

We try to provide parental logins at each parents evening.  If you require a login for Show My Homework, or your child needs a reminder of their email address, please contact office@theportsmouthacademy.org.uk or ask your child to visit reception.

To see your child’s homework, you will need a Parent Code, you can either get this from your child’s Show My Homework (see animation below) or by filling in this form.

Students are provided with logins for our computers and their Office 365 accounts when they start at The Portsmouth Academy.

The same password is used for both computers and email.  Show My Homework and GCSEPod use the same login details via the Sign In With Office 365 links.

If students forget their login details they will need to go to see the IT Support Team in room 11.

NOTE: during school closures if parent/carer contacts the school (preferably from a contact that we already have on record – e.g. via MyEd app / or email to info@theportsmouthacademy.org.uk), we can arrange to get the student password reset.

Following on from the recent government announcement that the free school meal (FSM) e- vouchers will be available to cover the Easter holidays, we have registered all students entitled to FSM with the DfE provider who will be distributing the e-vouchers using the email address you have provided to the school. We have not been advised when the first voucher will be sent, but any delay will not affect your entitlement. If you requested a printed voucher these will follow on once we have received them but are subject to postal delays at present. Choose your supermarket and confirm your details.  You will receive a barcode that can be scanned at the supermarket.

Update 24/04/20
Electronic vouchers: Emails have been sent to parents for Easter Holiday payments as 2 separate emails.  Please check any spam / junk email folders if you haven’t yet received them.  They will be from: noreply@edenred.co.uk and will have subject: “Redeem your school meal voucher”. If you definitely haven’t received them yet, or think we have the wrong email address please email g.stevens@tsatrust.org.uk.
Paper vouchers: If you have requested paper vouchers, these are unfortunately taking longer to sort out.  Vouchers covering the first two weeks of the Easter Holidays have been posted to you.   If you haven’t received the vouchers, think we have the wrong address, or wish to swap to electronic vouchers by providing an email address, please email g.stevens@tsatrust.org.uk or phone the school on 0333 360 2200.

We have set up a Digital Learning page with information about and links to the different online platforms available for students to access school work from home.   We are updating Microsoft Teams at the moment, please use Show My Homework to check for work.

Students can get to Teams or Show My Homework through the Microsoft Portal, using the Portals on the top menu of this website. If using Show My Homework via its website, students need to click on the Sign In With Office 365 link and use their @tsatstudent.org.uk email account if needed.

Students have access to a service called GCSEPod, which provides podcasts based on their GCSEs.  Their login will be their school login and password.  There is a link to this from the Pupils->Microsoft Portal at the top of this website, or they can go to www.gcsepod.com/login or download the iOS / Android app.  If they have any problems logging in, please contact the school.

TPA student guide to get to teams

All students have access to Microsoft Teams to allow them to access learning outside of lesson times.  Teams gives them a chance to work collaboratively with their teacher and other students in the class.

We recognise the value homework has and the positive effect it has upon learning. Homework should build on prior learning, consolidate what has been learnt in lessons and deepen students knowledge and understanding.

 The process of managing homework gives students good habits that they need to succeed in life- self-discipline, organisation, perseverance, resilience and the ability to think independently.

 We are always looking for ways to make homework more effective and we use Show My Homework to set homework.  Show My Homework enables students (and parents) to see exactly what homework is set.  Students (and parents) at The Portsmouth Academy can download a Show My Homework app for their mobile phones that can send reminders when homework is due. For more info about the apps see IOS App, Android App or other mobile devices.

 The simplest way to access Show My Homework, is through the Show My Homework link, via the Portals at the top of this website.

We value the support that families give to their children in completing homework.  All parents and carers can access the website via any device that is internet enabled to see what homework has been set for their child and the deadlines for each piece.

We try to provide parental logins at each parents evening.  If you require a login for Show My Homework, or your child needs a reminder of their email address, please contact office@theportsmouthacademy.org.uk or ask your child to visit reception.

To see your child’s homework, you will need a Parent Code, you can either get this from your child’s Show My Homework (see animation below) or by filling in this form.

Students are provided with logins for our computers and their Office 365 accounts when they start at The Portsmouth Academy.

The same password is used for both computers and email.  Show My Homework and GCSEPod use the same login details via the Sign In With Office 365 links.

If students forget their login details they will need to go to see the IT Support Team in room 11.

NOTE: during school closures if parent/carer contacts the school (preferably from a contact that we already have on record – e.g. via MyEd app / or email to info@theportsmouthacademy.org.uk), we can arrange to get the student password reset.

Parental Information Update Form for the 2020/2021 Academic Year

We use an online booking system called PEBS to book slots for each evening.  The slots are available to book from 10 days beforehand.  You will get a letter regarding this.

If you need the support of an interpreter or signer in order to attend the consultation evening and meet the teachers, please contact the school and speak to Lucy Burton to arrange this.

By attending parents’ evenings you are making a real difference to your child’s progress. The school values your views and you can pick up practical suggestions about how you can help at home too.

If you cannot make this evening please contact the Student Services Manager, Claire Rhodes so we can make alternative arrangements to discuss your child’s achievement.

 

Year 11 Parents Evening is now open for booking. Year 8 booking closes at 9:00am on 5th March.

If you have an issue logging in – please try using other titles e.g. “Ms”, “Miss”, “Mrs”, as we may have a different one on our system.  This may be the case with your child’s name if hyphenated, or try using your child’s formal name we would have on record.

If your child has 2 subjects with a teacher, both will be covered in the same appointment.

PEBS Instructions (and videos)

To register you will require:

  • Enter your title (e.g. Miss, Ms, Mrs, Mr)
  • Your Surname
  • Your child’s First Name & Surname (as recorded on the school’s official system)
  • Your child’s date of birth

Also, if you wish to get booking confirmations, please enter an email address. This will give you a screen with a parents’ evening to choose.  Usually there will only be your one showing.

NEW 2015: A new ‘Automated Booking’ wizard has been added to the software. This is a new way of booking and will allow you to enter your availability and choose which teachers you want to see before returning with the most efficient way to see all these teachers. You can use the tabs at the top of the page to book for all your children at once too. This will make the booking process even quicker for parents with multiple children, lots of teachers to book or those who are late to book.

A new screen will open giving you a list of your child’s teachers & subjects.  Wait a couple of seconds for these to fully appear.To book a slot select a teacher (their name should change to blue).  You will then see the available slots for you to meet with that teacher.  Slots that you already have booked will show in yellow.  Slots that the teacher is unavailable will show in pink.  Click on a time slot to book it.

When you book a teacher, a pop-up box will pop-up box will appear, allowing you to raise any issues beforehand, to allow teachers to have the current information at hand on the evening.

Enter any details, or leave blank, and select Make Booking.  The time slot will turn green and show your child’s details.  Simply select the next of your child’s teachers and repeat until completed.

When you have finished, if you scroll back up the screen, you can either email the list to yourself, or print the list.

We use an e-payment method to pay for dinner money. This can be done online at a secure website called ParentPay or in cash at local stores where you see the PayPoint logo.

Already have a ParentPay account?
If you already have a ParentPay account, either with our school or with another ParentPay School, you can simply login to that account and add your other children via the “Add a child” tab on the home page. You will need an activation username and password to do this.

New to ParentPay?

You will have a secure online account, activated using a unique activation username and password; you will be prompted to change these and keep them safe and secure as your Username and Password for future logins.
If you have two or more children at a ParentPay school, you only need to activate one account to create your ‘main account’ and then add your other children via the “Add a child” tab on your home page.

ParentPay holds an electronic record of your payments to view at a later date. Once you have activated your account you can make online payments straight away.

Online safety is a major concern for many parents, especially as our children sometimes seem to be more knowledgeable about computers, phones and other gadgets than we are.

Pupils are taught about online safety at The Portsmouth Academy in Personal Development (PD) lessons and encouraged to be careful online, and taught ways to keep safe.  Our internet is restricted, and pupils cannot access inappropriate sites from our PCs.

GUIDING POLICIES

The Portsmouth Academy aims to:

  • Ensure we practice safe recruitment in checking the suitability of staff and volunteers to work with children.
  • Raise awareness of child protection issues and equip children with the skills needed to keep them safe.
  • Have in place procedures for identifying and reporting cases, or suspected cases, of abuse, working alongside outside agencies to protect our students.
  • Support students who have been abused in accordance with his/her agreed child protection plan.
  • Establishing a safe environment in which children can learn and develop.
  • Be vigilant for signs of abuse.
  • Our policy applies to all staff, governors and volunteers working in the school.

PRACTICE AND GUIDANCE

The Policy at TPA is based on the principle of fully recognising the academy’s responsibilities for child protection. We recognise that because of the day to day contact with children, academy staff are well placed to observe the outward signs of abuse. The academy will therefore:

  • Establish and maintain an environment where children feel secure, are encouraged to talk, and are listened to.
  • Ensure children know that there are adults in the academy whom they can approach if they are worried.
  • Include opportunities in the PD curriculum for children to develop the skills they need to recognise and stay safe from abuse.

We will follow the procedures set out by the Local Safeguarding Children Board and take account of guidance issued by the DCSF and DFE:

  • Ensure we have a designated senior person for child protection who has received appropriate training and support for this role.
  • Ensure we have a nominated governor responsible for child protection.
  • Ensure every member of staff (including temporary and supply staff and volunteers)and governing body knows the name of the designated senior person responsible for child protection and their role.
  • Ensure all staff and volunteers understand their responsibilities in being alert to the signs of abuse and responsibility for referring any concerns to the designated senior person responsible for child protection.
  • Ensure that parents have an understanding of the responsibility placed on the academy and staff for child protection by setting out its obligations in the academy prospectus.
  • Notify social services if there is an unexplained absence of more than two days of a student who is on the child protection register.
  • Develop effective links with relevant agencies and co-operate as required with their enquiries regarding child protection matters including attendance at case conferences.
  • Keep written records of concerns about children, even where there is no need to refer the matter immediately.
  • Ensure all records are kept securely, separate from the main student file, and in locked locations.
  • Develop and then follow procedures where an allegation is made against a member of staff or volunteer.
  • Ensure safe recruitment practices are always followed

For your child to be eligible for Free School Meals (FSM) you will need be in receipt of the following benefits:

  • Income Support
  • income-based Jobseeker’s Allowance
  • income-related Employment and Support Allowance
  • support under Part VI of the Immigration and Asylum Act 1999
  • the guaranteed element of Pension Credit
  • Child Tax Credit (provided you’re not also entitled to Working Tax Credit and have an annual gross income of no more than £16,190)
  • Working Tax Credit run-on – paid for 4 weeks after you stop qualifying for Working Tax Credit
  • Universal Credit – if you apply on or after 1 April 2018 your household income must be less than £7,400 a year (after tax and not including any benefits you get)

If you are in receipt of one of the benefits above, you will need to apply to Portsmouth City Council (PCC).

Once PCC have assessed your child’s eligibility, they will send you a letter with the outcome and will include your child’s status on the weekly list that is sent to the school.
