Regular attendance is extremely important for student achievement, it is also a legal requirement. In line with the expectations of the world of work, we place a high value on punctuality, which should become a habit for life. We have our own Educational Welfare Officer to monitor attendance and punctuality.

Fostering good attendance is a shared responsibility between us and yourselves and we do ask for your support with regard to this. Your child’­s attendance figures will form part of your child’­s Record of Achievement. Employers and colleges always ask for information regarding a pupil’­s attendance and punctuality.

Good punctuality is expected at all times and we do ask parents to confine routine dental and hospital visits to holidays or after the learning day. At no time will your child be allowed to leave the premises without written permission from you.

Absences

To understand when you should send your child into school, please use this Public Health guidance.

What to do if your child is unable to come to attend:

  • Please let us know on the first day of absence giving the reason and the expected date of return. By text: 0762 4804738, by phone: 0844 2393531 or all other enquires 0333 360 2200.

What to do when your child returns:

  • Please provide an absence note, even though you telephoned previously, giving a reason for and the dates of the absence.

We have an electronic system of contacting parents if their child is absent and no reason has been given.

Authorised And Unauthorised Absences

Please note that only the Principal can authorise absence for exceptional circumstances.
Exceptional circumstances would include the following:

  • Illness
  • Unavoidable medical appointment
  • Recognised religious observance
  • Funerals
  • Traumatic events.

Should you wish to request leave of absence please ask your child to collect the relevant forms from reception and when completed, return to the Principal.
Truancy or unauthorised absence includes time off for:

  • Shopping
  • Birthdays
  • Looking after other family members
  • Taking all your children to appointments when it only relates to one child
  • Waiting in for trades people
  • Family holidays
  • Unapproved sporting events
  • Any time off when no reason is given
  • Visiting relatives
  • Getting up late
  • Missing the bus
  • Poor weather – unless authorised by school
  • Days out.

Attendance figures

We have set an attendance target of 96%.

Your child will also have their own personal attendance target set by their tutor.

Improving Punctuality

Punctuality Letter

All pupils must be on site by 8.40am at the latest.

  • If your child catches a local bus, the responsibility will be on you as parent/carer to prove that they were late because of problems with the buses.
  • If your child walks, the responsibility is on you as parent/carer to provide a satisfactory reason for their lateness.
  • If you bring your child in a car, it is your responsibility to ensure that enough time is given for the journey to prevent lateness.

Failure to provide satisfactory proof of lateness will result in detentions in the first instance, followed by parental interviews, then involvement from the Educational Welfare Officer.

Please note that lateness is classed as truancy and can lead to court action.

How can you help?

  1. Encourage your child to attend on time every day.
  2. Contact your child’­s House Leader if you are having problems getting your child to attend. We are here to help.
  3. Take your holidays only during holiday time.
  4. Try and avoid having medical appointments during the learning day. We do finish school at 15:00.

All educational establishments are required to publish figures for authorised and unauthorised absences. We are trying to reduce our unauthorised absence by contacting parents each morning if their child fails to attend. We will also send out a copy of your child’s attendance with their annual report as well as discussing it with you at Parents’­ Evening.

We liaise closely with our Education Welfare Officer and they will become involved with those families whose children have poor levels of attendance. It may sometimes be necessary to take court action.

    What shall I do if my child is unwell?

    If your child is unwell and you are unsure about sending them into school. Please follow the flow-map below, which will help inform your choice about if they should attend school.

    We would like to remind you, that if you are not sending your child to school. Please call the school on 0333 360 2200 and select our absence line to leave a message

    What shall I do if one of my children is unwell showing COVID-19 symptoms and my other children are fine?

    If any member of the household is showing COVID-19 related symptoms, we would direct you to follow the government guidance whereby the whole household should self-isolate whilst you organise getting a test.

     What shall I do if I am unable to get a test from the NHS website?

    We understand that at times there is a higher demand for tests for COVID-19. We would recommend that you keep trying to get a test through the online testing portal.

     

    Do you have tests available at school as the government has stated?

    The testing kits given to the school are extremely limited and have already been distributed for use. We have ordered further kits through the Department of Education and are awaiting delivery of them.

     

    Can the school take the temperatures of people entering the building?

    The guidance does not recommend this and would be challenging us to do with the number of students we have. If your child/children are hot to the touch on their front and back, then they should remain at home.

     

    Am I able to view the school’s risk assessment?

    The school’s risk assessment can be viewed on the Thinking School Academy Trust coronavirus webpage: https://www.tsatrust.org.uk/about/coronavirus/health-safety-wellbeing/

     

    Can I get a meeting with a member of staff in the school?

    Due to the school risk assessment and the management of students and staff safety, only essential meetings are taking place on the school site.

     

    What shall I do if the test results come back negative?

    If the test results come back negative:

    • Your child is able to return to school
    • If they are still unwell, to keep them off until they are well enough to attend school

    We also ask if you could send a copy of the result text message (screenshot) or email to the following email address: absence@theportsmouthacademy.org.uk

    This email account is monitored and you will receive an automatic-reply on receipt of your email.

     

    What shall I do if the test results come back positive?

    If the test results come back positive:

    • To continue to following government and public health advice
    • Contact the school as soon as you can
      • If you receive the results during the school day. Please contact the school by telephone where a message will be taken by the receptionist. Please also send a copy of the result (text message or email) to absence@theportsmouthacademy.org.uk
      • If you receive the results in the evening or over the weekend. Please contact the school via absence@theportsmouthacademy.org.uk as this email account is monitored and will be picked up
      • A staff member will get in contact with you to gather further information

    At The Portsmouth Academy we are keen to allow students to learn in ways and at times that support their education.  These are some of the packages available to our students.

    If your child is having issues logging into our systems, please can you please fill in this form.

    Students have access to a service called GCSEPod, which provides podcasts based on their GCSEs.  Their login will be their school login and password.  There is a link to this from the Pupils->Microsoft Portal at the top of this website, or they can go to www.gcsepod.com/login or download the iOS / Android app.  If they have any problems logging in, please contact the school.

    TPA student guide to Teams

    All students have access to Microsoft Teams to allow them to access learning outside of lesson times.  Teams gives them a chance to work collaboratively with their teacher and other students in the class.

    Students are provided with logins for our computers and their Office 365 accounts when they start at The Portsmouth Academy.

    The same password is used for both computers and email.  Show My Homework and GCSEPod use the same login details via the Sign In With Office 365 links.

    If students forget their login details they will need to inform their teacher who get their password reset.

    According to The Education Endowment Foundation, evidence shows that the impact of homework, on average, is five months’ additional progress.  Therefore, it is the Academy’s aim to provide effective homework and to develop the habit of regular completion of homework in our students.

    Students will receive praise and rewards for completing homework. If homework is not completed students will receive a negative habit point. On the second instance of non-completion, the teacher will contact home and on the third instance a detention will be set.

    Homework for each year group is set according to a timetable each week by teachers.  In KS3, homework is set for up to half an hour and for up to an hour in KS4. All homework is set on Microsoft Teams.

    Parents evenings are being held online using the same system we have previously used.

    – this will not work until 2 weeks before parents evening.
    To login you will need to enter:
    • Your title (Miss/Ms/Mrs/Mr) and surname
    • Your child’s first name, surname and date of birth.
    • The login details you enter must match those we have on record for you. The first name and
    surname must match those that your child is known on the school register (e.g. Katherine
    Smith/Katie Smith).
    • We may have a different title on record for you (e.g. Ms not Miss) so please try alternatives if you cannot login.

    If you have any issues booking appointments please contact l.burton@tsatrust.org.uk or 0333 360 2200.

    You will get a 4 minute slot with each teacher, with a minimum 1 minute gap between bookings. For years 7, 8 and 9 there may be a limit to the number of teachers you can see to ensure that all parents can make appointments.

    On the day of your appointments, you need to re-login at the website address above. 10 minutes before
    your appointments are due to begin, you will be able to join the video meeting room, where you can
    wait for your appointment(s).

    Online safety is a major concern for many parents, especially as our children sometimes seem to be more knowledgeable about computers, phones and other gadgets than we are.

    Pupils are taught about online safety at The Portsmouth Academy in Personal Development (PD) lessons and encouraged to be careful online, and taught ways to keep safe.  Our internet is restricted, and pupils cannot access inappropriate sites from our PCs.

    GUIDING POLICIES

    The Portsmouth Academy aims to:

    • Ensure we practice safe recruitment in checking the suitability of staff and volunteers to work with children.
    • Raise awareness of child protection issues and equip children with the skills needed to keep them safe.
    • Have in place procedures for identifying and reporting cases, or suspected cases, of abuse, working alongside outside agencies to protect our students.
    • Support students who have been abused in accordance with his/her agreed child protection plan.
    • Establishing a safe environment in which children can learn and develop.
    • Be vigilant for signs of abuse.
    • Our policy applies to all staff, governors and volunteers working in the school.

    PRACTICE AND GUIDANCE

    The Policy at TPA is based on the principle of fully recognising the academy’s responsibilities for child protection. We recognise that because of the day to day contact with children, academy staff are well placed to observe the outward signs of abuse. The academy will therefore:

    • Establish and maintain an environment where children feel secure, are encouraged to talk, and are listened to.
    • Ensure children know that there are adults in the academy whom they can approach if they are worried.
    • Include opportunities in the PD curriculum for children to develop the skills they need to recognise and stay safe from abuse.

    We will follow the procedures set out by the Local Safeguarding Children Board and take account of guidance issued by the DCSF and DFE:

    • Ensure we have a designated senior person for child protection who has received appropriate training and support for this role.
    • Ensure we have a nominated governor responsible for child protection.
    • Ensure every member of staff (including temporary and supply staff and volunteers)and governing body knows the name of the designated senior person responsible for child protection and their role.
    • Ensure all staff and volunteers understand their responsibilities in being alert to the signs of abuse and responsibility for referring any concerns to the designated senior person responsible for child protection.
    • Ensure that parents have an understanding of the responsibility placed on the academy and staff for child protection by setting out its obligations in the academy prospectus.
    • Notify social services if there is an unexplained absence of more than two days of a student who is on the child protection register.
    • Develop effective links with relevant agencies and co-operate as required with their enquiries regarding child protection matters including attendance at case conferences.
    • Keep written records of concerns about children, even where there is no need to refer the matter immediately.
    • Ensure all records are kept securely, separate from the main student file, and in locked locations.
    • Develop and then follow procedures where an allegation is made against a member of staff or volunteer.
    • Ensure safe recruitment practices are always followed

    School Lunches

    This information is correct for school year 2020/21, there may be changes in timings and operation for the 2021/22 school year.

    We will not be using any cash payment, including the reval machine we previously used by the main hall,  All payments will need to be made by Iris PlusPay via the MyEd app.   For the initial period while parents are setting up PlusPay, food and drinks can still be purchased, and the payment will taken when money is loaded into PlusPay.

    There will be a reduced menu (see link below), which will be as a “grab and go”.  For break times students will be brought down in their year group bubbles to the dining hall to get any food or drinks and then will be in the Quad area.

    At lunch times, students will be brought down in year group bubbles to dining hall and quad area for first 20 minutes.  The second 20 minutes of lunch will be on the hard standing area behind the sports hall.

    If there is bad weather students will be in the sports hall and main hall, in year group bubbles.

    Pupils will sanitise hands before entering the dining hall, and using the thumb print scanner to get food.  These will be cleaned between each bubble year group.  Thumb prints for year 7 students will be collected on the first day,  PIN codes are available as an alternative if requested.

    Free School Meals pupils get a daily allowance of £2.25 per day.  If they spend more than this (e.g. have an extra snack at breaktime) any spend over that value will be charged to their PlusPay account, and will need to be paid for.  If you wish for them to be able to spend over £2.25, you will need to add credit to your PlusPay account.

    The daily allowance is not carried over, and their balance is topped up to £2.25 every day.

    For your child to be eligible for Free School Meals (FSM) you will need be in receipt of the following benefits:

    • Income Support
    • income-based Jobseeker’s Allowance
    • income-related Employment and Support Allowance
    • support under Part VI of the Immigration and Asylum Act 1999
    • the guaranteed element of Pension Credit
    • Child Tax Credit (provided you’re not also entitled to Working Tax Credit and have an annual gross income of no more than £16,190)
    • Working Tax Credit run-on – paid for 4 weeks after you stop qualifying for Working Tax Credit
    • Universal Credit – if you apply on or after 1 April 2018 your household income must be less than £7,400 a year (after tax and not including any benefits you get)

    If you are in receipt of one of the benefits above, you will need to apply to Portsmouth City Council (PCC).

    Once PCC have assessed your child’s eligibility, they will send you a letter with the outcome and will include your child’s status on the weekly list that is sent to the school.

    Uniform is an important part of our Academy identity and must be worn with pride at all times. If your child does not wear the correct uniform you will be contacted. On the first occasion, where possible, your child will be loaned the correct attire for that day only. If there is a second occasion, you will be contacted and your child will be sent home to change. They should then be brought back into school.

    The Uniform Shop at Penhale School is now closed. Uniform can only be purchased online at: https://simmonds-ltd.com/the-portsmouth-academy/ 

    As we start to have a mixed intake, the uniform will be different for different year groups.  Please check appropriate guidance.

    Parents evenings are being held online using the same system we have previously used.

    – this will not work until 2 weeks before parents evening.
    To login you will need to enter:
    • Your title (Miss/Ms/Mrs/Mr) and surname
    • Your child’s first name, surname and date of birth.
    • The login details you enter must match those we have on record for you. The first name and
    surname must match those that your child is known on the school register (e.g. Katherine
    Smith/Katie Smith).
    • We may have a different title on record for you (e.g. Ms not Miss) so please try alternatives if you cannot login.

    You will get a 4 minute slot with each teacher, with a minimum 1 minute gap between bookings. For years 7, 8 and 9 there may be a limit to the number of teachers you can see to ensure that all parents can make appointments.

    your appointments are due to begin, you will be able to join the video meeting room, where you can
    wait for your appointment(s).

    Online safety is a major concern for many parents, especially as our children sometimes seem to be more knowledgeable about computers, phones and other gadgets than we are.

    Pupils are taught about online safety at The Portsmouth Academy in Personal Development (PD) lessons and encouraged to be careful online, and taught ways to keep safe.  Our internet is restricted, and pupils cannot access inappropriate sites from our PCs.

    GUIDING POLICIES

    The Portsmouth Academy aims to:

    • Ensure we practice safe recruitment in checking the suitability of staff and volunteers to work with children.
    • Raise awareness of child protection issues and equip children with the skills needed to keep them safe.
    • Have in place procedures for identifying and reporting cases, or suspected cases, of abuse, working alongside outside agencies to protect our students.
    • Support students who have been abused in accordance with his/her agreed child protection plan.
    • Establishing a safe environment in which children can learn and develop.
    • Be vigilant for signs of abuse.
    • Our policy applies to all staff, governors and volunteers working in the school.

    PRACTICE AND GUIDANCE

    The Policy at TPA is based on the principle of fully recognising the academy’s responsibilities for child protection. We recognise that because of the day to day contact with children, academy staff are well placed to observe the outward signs of abuse. The academy will therefore:

    • Establish and maintain an environment where children feel secure, are encouraged to talk, and are listened to.
    • Ensure children know that there are adults in the academy whom they can approach if they are worried.
    • Include opportunities in the PD curriculum for children to develop the skills they need to recognise and stay safe from abuse.

    We will follow the procedures set out by the Local Safeguarding Children Board and take account of guidance issued by the DCSF and DFE:

    • Ensure we have a designated senior person for child protection who has received appropriate training and support for this role.
    • Ensure we have a nominated governor responsible for child protection.
    • Ensure every member of staff (including temporary and supply staff and volunteers)and governing body knows the name of the designated senior person responsible for child protection and their role.
    • Ensure all staff and volunteers understand their responsibilities in being alert to the signs of abuse and responsibility for referring any concerns to the designated senior person responsible for child protection.
    • Ensure that parents have an understanding of the responsibility placed on the academy and staff for child protection by setting out its obligations in the academy prospectus.
    • Notify social services if there is an unexplained absence of more than two days of a student who is on the child protection register.
    • Develop effective links with relevant agencies and co-operate as required with their enquiries regarding child protection matters including attendance at case conferences.
    • Keep written records of concerns about children, even where there is no need to refer the matter immediately.
    • Ensure all records are kept securely, separate from the main student file, and in locked locations.
    • Develop and then follow procedures where an allegation is made against a member of staff or volunteer.
    • Ensure safe recruitment practices are always followed

    Parents evenings are being held online using the same system we have previously used.

    – this will not work until 2 weeks before parents evening.
    To login you will need to enter:
    • Your title (Miss/Ms/Mrs/Mr) and surname
    • Your child’s first name, surname and date of birth.
    • The login details you enter must match those we have on record for you. The first name and
    surname must match those that your child is known on the school register (e.g. Katherine
    Smith/Katie Smith).
    • We may have a different title on record for you (e.g. Ms not Miss) so please try alternatives if you cannot login.

    You will get a 4 minute slot with each teacher, with a minimum 1 minute gap between bookings. For years 7, 8 and 9 there may be a limit to the number of teachers you can see to ensure that all parents can make appointments.

    your appointments are due to begin, you will be able to join the video meeting room, where you can
    wait for your appointment(s).

    Online safety is a major concern for many parents, especially as our children sometimes seem to be more knowledgeable about computers, phones and other gadgets than we are.

    Pupils are taught about online safety at The Portsmouth Academy in Personal Development (PD) lessons and encouraged to be careful online, and taught ways to keep safe.  Our internet is restricted, and pupils cannot access inappropriate sites from our PCs.

    GUIDING POLICIES

    The Portsmouth Academy aims to:

    • Ensure we practice safe recruitment in checking the suitability of staff and volunteers to work with children.
    • Raise awareness of child protection issues and equip children with the skills needed to keep them safe.
    • Have in place procedures for identifying and reporting cases, or suspected cases, of abuse, working alongside outside agencies to protect our students.
    • Support students who have been abused in accordance with his/her agreed child protection plan.
    • Establishing a safe environment in which children can learn and develop.
    • Be vigilant for signs of abuse.
    • Our policy applies to all staff, governors and volunteers working in the school.

    PRACTICE AND GUIDANCE

    The Policy at TPA is based on the principle of fully recognising the academy’s responsibilities for child protection. We recognise that because of the day to day contact with children, academy staff are well placed to observe the outward signs of abuse. The academy will therefore:

    • Establish and maintain an environment where children feel secure, are encouraged to talk, and are listened to.
    • Ensure children know that there are adults in the academy whom they can approach if they are worried.
    • Include opportunities in the PD curriculum for children to develop the skills they need to recognise and stay safe from abuse.

    We will follow the procedures set out by the Local Safeguarding Children Board and take account of guidance issued by the DCSF and DFE:

    • Ensure we have a designated senior person for child protection who has received appropriate training and support for this role.
    • Ensure we have a nominated governor responsible for child protection.
    • Ensure every member of staff (including temporary and supply staff and volunteers)and governing body knows the name of the designated senior person responsible for child protection and their role.
    • Ensure all staff and volunteers understand their responsibilities in being alert to the signs of abuse and responsibility for referring any concerns to the designated senior person responsible for child protection.
    • Ensure that parents have an understanding of the responsibility placed on the academy and staff for child protection by setting out its obligations in the academy prospectus.
    • Notify social services if there is an unexplained absence of more than two days of a student who is on the child protection register.
    • Develop effective links with relevant agencies and co-operate as required with their enquiries regarding child protection matters including attendance at case conferences.
    • Keep written records of concerns about children, even where there is no need to refer the matter immediately.
    • Ensure all records are kept securely, separate from the main student file, and in locked locations.
    • Develop and then follow procedures where an allegation is made against a member of staff or volunteer.
    • Ensure safe recruitment practices are always followed

    School Lunches

    This information is correct for school year 2020/21, there may be changes in timings and operation for the 2021/22 school year.

    We will not be using any cash payment, including the reval machine we previously used by the main hall,  All payments will need to be made by Iris PlusPay via the MyEd app.   For the initial period while parents are setting up PlusPay, food and drinks can still be purchased, and the payment will taken when money is loaded into PlusPay.

    There will be a reduced menu (see link below), which will be as a “grab and go”.  For break times students will be brought down in their year group bubbles to the dining hall to get any food or drinks and then will be in the Quad area.

    At lunch times, students will be brought down in year group bubbles to dining hall and quad area for first 20 minutes.  The second 20 minutes of lunch will be on the hard standing area behind the sports hall.

    If there is bad weather students will be in the sports hall and main hall, in year group bubbles.

    Who are Young Carers?

    A young carer is a young person under the age of 18 whose life is affected by the care needs of another person, who help to look after a relative with a disability, illness, mental health condition, or drug or alcohol problem.

    What do young carers do?

    Young carers help with tasks usually done by an adult:
    · Bathing, dressing or washing
    · Listening, when someone is upset
    · Giving medicine
    · Cooking, cleaning, shopping
    · Looking after brothers or sisters

    Why are there concerns about Young Carers?

    · Around one in 20 young carers miss school because of their caring responsibilities
    · Significantly lower educational attainment at GCSE level
    · More likely than the national average to be NEET (Not in Education, Employment or Training) between the ages of 16 – 19
    · Young carers need extra support but are ‘hidden’ and so are less likely to find the support they need
    · A quarter said they were bullied at school because of their caring role
    · Only half had received additional support from a member of school staff.

    We find out who our Young Carers are here at The Portsmouth Academy in various ways: Information is passed to us from Primary Schools, Safeguarding team, pupils and parents.

    We offer a Friday lunchtime ‘drop-in’ session for all Young Carers and work with individual pupils to provide further help and support as and when required (homework and classwork support, emotional support, etc.).
